Meeting minutes with AI: turning meetings into tasks without typing

How AI meeting transcription works, what it extracts (summary, decisions, tasks with owners) and what to consider about privacy. With a demo you can try in your browser.

The meeting ends, everyone stands up and someone has to write the minutes and hand out tasks. It happens late, badly or not at all. A week later, nobody remembers who was doing what.

It's one of the problems AI solves best today, and one I've taken to production at work with AIA Connect, which you can try right on the page.

What exactly it does

  1. Records the meeting (or you upload the audio).
  2. Transcribes it: the full text of what was said, with very high accuracy in Spanish even with several speakers.
  3. Analyses it and returns:
    • an executive summary of what matters;
    • the decisions made;
    • the tasks detected, with owner and deadline when mentioned.
  4. Sends the tasks to where the team works: in my case, straight into the TaskFlow task manager.

Why step 4 is the one that matters

Transcribing is the easy part: plenty of tools do it. What really saves work is turning the conversation into actions that appear on their own where the team already looks every day. Perfect minutes nobody opens are useless.

Things to consider

Privacy

Meetings cover clients, prices, people. Before using any tool:

Human review

AI gets a lot right, but doesn't always understand context or tone. A two-minute review of the summary and tasks before sending avoids misunderstandings.

Audio quality

A decent microphone on the table makes more difference than any software setting.

Off-the-shelf or custom?

If you only want transcription and summaries, standard video-call tools already include it. Custom makes sense when you want tasks to land in your own systems, data to stay in your company, or analysis that follows how you work.

Frequently asked questions

Does it work well in Spanish with several people?

Yes. Current models transcribe Spanish very accurately, even with several speakers, though a good microphone helps.

Is recording meetings legal?

Attendees must be told it's being recorded and why. With proper notice and consent, it's common practice.

Can it connect to my task manager?

Yes, that's precisely where the value is. AIA Connect sends tasks straight to TaskFlow; other systems can be connected the same way.
